Job Description
The Accounts Coordinator serves an integral role within the Budget & Operations team, managing financial documentation and ensuring adherence to University policies across seven departments/schools, two study-away locations, and nine administrative units within the College of Visual and Performing Arts. This role requires meticulous record-keeping, auditing skills, effective communication, and proactive problem-solving.
Education and Experience
Associate’s Degree in Accounting or related field or equivalent practical experience.
Skills and Knowledge
  • Demonstrated proficiency with Microsoft Excel, Word, email platforms, and familiarity with university financial software.
  • Strong aptitude for learning and adapting to new technology systems.
  • Exceptional organizational skills with rigorous attention to detail and accuracy.
  • Ability to maintain a high degree of confidentiality and professionalism.
  • Excellent communication and interpersonal skills to interact effectively with university personnel at all levels.
  • Positive attitude and strong ability to multitask.
  • Flexibility to adapt quickly to changing priorities and workload demands.
Responsibilities
Transaction Pre-audit:
  • Perform detailed pre-audits of unrestricted financial transactions to verify accuracy, completeness, and compliance with established University policies and guidelines.
  • Utilize financial software and standardized auditing procedures to mitigate financial risk.
General Ledger Reconciliation:
  • Execute reconciliation of the general ledger by running system-generated queries, validating results against submitted documentation, and thoroughly researching discrepancies.
  • Pursue and document corrective actions in collaboration with departmental personnel as necessary.
Department Record Management:
  • Maintain comprehensive financial records for assigned departments, including the systematic organization of contracts, purchase requisitions, invoices, deposits, and other pertinent documentation.
  • Ensure timely updates and storage consistent with university retention policies.
Inquiry Management:
  • Manage a centralized communication channel (email inbox) for addressing inquiries related to procurement, reimbursement requests, and other financial transactions.
  • Investigate and provide detailed resolutions promptly, offering guidance based on institutional financial policies.
Deposit Reconciliation:
  • Reconcile department deposits systematically, confirming transaction accuracy, timely processing, and documentation compliance.
