Job Description

FINANCIAL ASSISTANT 2, Materials Research Laboratory, to provide complex and diverse financial support, including reviewing, processing, and/or tracking financial transactions.  Will monitor activity in cost objects, assist with assembling accruals and carry forward lists, close outstanding purchase orders, and issue new blankets for next fiscal year; research and gather financial information for projects; handle salary distribution changes as needed; and possibly distribute and follow up with principal investigators and/or other staff to complete and submit quarterly salary distribution reports.  Responsibilities include assisting with the preparation of financial/budget spreadsheets, documentation, and/or forms; reviewing, processing, and tracking payments and reconciling all bills, vendor invoices and purchase orders, requisitions, and requests for payment; settling billing discrepancies; approving invoices, RFPs, and travel expense reports and interacting with vendors to answer questions and resolve issues; processing accounts receivable, including billing/invoicing, adjustments, and changes; processing procurement requisitions and verifying credit card purchases; reconciling payroll, maintaining records, and assisting with salary forecasting; assisting with weekly payroll processing; maintaining records/files/reports; generating weekly and monthly reports; performing account maintenance; reconciling accounting statements, fixing discrepancies, checking salaries, and performing projections on individual accounting forms; reviewing monthly transactions related to various cost objects (FRC) to ensure that expenses and revenues are accurate, timely, complete, and properly documented; and performing other duties as assigned.  May track submitted proposals in system, review terms of awards, and monitor and reconcile grant budgets.  

Job Requirements
REQUIRED: high school diploma or its equivalent and at least three years’ experience in accounting or finance.  PREFERRED: bachelor’s degree in a related field.  Job #23845-5
