PURPOSE: The Deferral / Misdemeanor Diversion Coordinator is a position that provides direct assistance to the general public and support to the office staff of the Grant County Prosecutor’s Office. This position reports directly to the Office Manager and falls under the purview of the Elected Prosecuting Attorney. The designated workplace for the Deferral / Misdemeanor Diversion Coordinator is the Grant County Prosecutor’s Office in the Grant County Courthouse. The office hours are 8AM until 4PM on Mondays through Fridays, unless approved in the annual Holiday Schedule approved by the Grant County Board of Commissioners. It is preferred that all reporting of issues, concerns, absences, or tardiness goes through the Office Manager during normal business hours; if the Office Manager is unable to be reached, the reporting chain is the following: 1)Chief Deputy, 2) Elected Prosecutor, 3) Other Deputy Prosecutors, 4) other Prosecutor’s Office staff.

DUTIES: 1) Provide customer service to individuals contacting the Prosecutor’s Office through all contemporary methods (e.g. answering phones, greeting office visitors, processing faxes, answering emails, processing mail, checking voicemail daily, etc.). 2) Maintain a welcoming environment in the Prosecutor’s Office by cleaning and organizing personal workspaces within the office area of the Prosecutor’s Office. 3) Process misdemeanor cases that have been cited into Marion City Court or Gas City Court. 4) Manage the infraction and misdemeanor diversion/deferral programs within the Grant County Prosecutor’s Office, to include receiving, documenting, and depositing payments. 5) Prepare and maintain the cases in the Prosecutor Case Management System (PCMS) by uploading all relevant documents and evidence to the attachments. 6) File pleadings with the appropriate court(s) required by local rules. 7) Notate any action with a case file with new case notes in PCMS for each action or movement that takes place involving the case file, and work to keep the dashboard clear. 8) Attach and/or scan all documents received into their corresponding case file. 9) Provide back-up to the Office Assistant and Administrative Assistant in answering phone calls and greeting visitors at the Prosecutor’s Office entrance. 10) Complete all other tasks assigned by the Office Manager. 11) Maintain training as directed by the Office Manager.

RESPONSIBILITIES: 1) Report to your designated workplace in the Prosecuting Attorney’s Office during the posted office hours of operation, except for instances where permission is given by the Office Manager or Acting Office Manager. 2) Only one hour of lunch is permitted and will take place during the hours of 11am and 1pm, and is to be coordinated through the Office Manager to ensure front office staffing. 3) Inform the Office Manager (or Acting Office Manager) when leaving/returning to the office. 4) Inform the Office Manager as soon as is reasonable regarding absences or tardiness with regard to reporting to the designated workplace; provide dates and times of medical procedures as soon as possible to allow for coverage of duties. 5) Request vacation time no later than fourteen (14) days prior to the first requested day, unless notice would have been unreasonable or impossible due to circumstances. 6) All overtime must have prior approval by the Office Manager.
