The Department of Ophthalmology office has a truly unique position for a 1.0 FTE Grants And Contracts Manager/Specialist (Grants Manager) supporting the Computational Ophthalmology / Lee Lab within Vision Science Center at South Lake Union. The Department of Ophthalmology has an active research program spanning basic, translational, clinical and outcomes research. The Grants Manager will cover all types of research within the Department and are responsible for the post-award financial management of awards received and proposals with a focus on the Computational Ophthalmology Research portfolio under PIs Aaron Lee an Cecilia Lee. The Grants Manager must have a thorough understanding of grant management, in accordance with all applicable rules and regulations, and be able to effectively communicate with principal investigators (PIs), program managers, finance staff and sponsors.  The Grants Manager will work to ensure compliance with all aspects of grant management.  This position reports to the Research Administrator and does not supervise staff at this time, though they may lead projects and initiatives and the grants team, when called upon.

DUTIES AND RESPONSIBILITIES
Post Award Administration (75%)
  • Proactively ensures that assigned research subcontracts are executed in a timely manner, including tracking spending, and processes leading to payment of invoices.
  • Ensures grants and contracts are in compliance with UW and a variety of sponsor policies at all times.
  • Prepare complex and detailed budget forecasting reports for PIs, Vice Chair of Research, Vice Chair of Finance & Administration, and program managers to ensure that all grant funding sources are managed to conform with sponsor, institutional and departmental policies.
  • Plan and project research cost accounting with research PIs, faculty, provide recommendations to faculty PIs, Chair, and Vice Chairs (Research, Finance & Administration).
  • With delegated authority, review and authorize budget expenses.  Monitor budget activity, taking appropriate corrective action as needed. Investigate and resolve complex budget problems.
  • Manage cost share processes for assigned grants/contracts
  • Manage faculty effort certifications and grant & contract certification reports for assigned faculty
  • Initiate and achieve budget revisions/modifications, no cost extensions, supplements, annual renewals, and fiscal reports as required by the sponsor.
  • Accomplish close-out process for grants/contracts to ensure all deliverables have been met; communicating with Grant and Contract Accounting (GCA) and OSP to ensure that the required documentation is on record
  • Manage the research space assignments in the InVision database
  • May serve as a team lead when necessary.

    Administration (15%)
  • Attend meetings related to grant management processes such as GCA lunches and learn, MRAM, RAPN, etc., to stay abreast of changes that may impact daily work.
  • Responsible for bringing change information to the team and others as necessary.
  • Attend meetings for UW Financial Transformation (UWFT); be an active participant in the new Workday Financial system.
  • Assist with records retention compliance in the gathering and storing of grant and contract records.
  • Participate in team meetings to ensure that the team’s processes compliance/audit goals.
  • Review, suggest and initiate process improvement changes in collaboration with grants team

    Pre-Award Unit Administration (10%)
  • Submits grant proposals and other non-award documents via the eGC1 processes when not ABC, the School of Medicine’s Business Center (ABC) resources, are not engaged.  Examples:  Supplemental funding requests, Data Use Agreements (DUA), Confidential Disclosure Agreements (CDA).

    Managing rigorous rules, the Grants Manager will be an individual who enjoys understanding complex systems and ensuring that is the Department’s awarded research grants and contracts use funds appropriately and adhere to guidelines, policies and regulations governing research projects. They must be someone who enjoys managing a myriad of details with precision and accuracy and comfortable with multiple, and often competing deadlines. The Grants Manager must demonstrate strong customer service orientation; they will have substantial interaction with faculty PIs as well as other research staff, advising, answering questions, problem solving and ensuring adherence to policies. The Grants Manager will enjoy reviewing and recommending and implementing process improvements.

    MINIMUM REQUIREMENTS
  • Bachelor’s Degree in Business, Finance, Healthcare administration, accounting, or other similar
  • 3 years of experience in finance, accounting or research administration.
  • Equivalent education/experience can substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. Candidates of non-traditional educational or experiential backgrounds are invited to apply.

    ADDITIONAL REQUIREMENTS
  • Must demonstrate excellent written and oral communication skills.
  • Proficiency in MS Office (Word, Excel, and Outlook)
  • Demonstrated ability to work with faculty and senior staff on major projects with minimal supervision.

    DESIRED QUALIFICATIONS
  • 3 years experience academic research administration
  • Prior experience with UW systems and databases, specifically SAGE, Workday and Awards Portal as well as external systems e.g.  eRA Commons

    CONDITIONS OF EMPLOYMENT
  • This position will be a hybrid in-person/remote work schedule. Office is in Seattle, WA (South Lake Union).
