SUMMARY:  Responsible for ensuring that goods are shipped accurately, completely, and in the most timely and efficient manner according to the documented processes, including planning the transportation route, selecting the mode of transportation, tendering the order for transportation, and tracking the shipment from pick up through delivery while targeting cost reduction, freight savings, and service and contractual agreements.  This role is the primary lead for all shipping and receiving activity at Sakamura USA. Thorough ownership of the S&R role, proactive control of all relevant processes, and thorough and detailed knowledge of this area of work are both expected and crucial to acceptable performance of the role.

PRIMARY RESPONSIBILITIES (ESSENTIAL FUNCTIONS)

  1. Utilizes various transportation provider methods and systems to facilitate material movement planning and scheduling.
  2. Updates and maintains the shipping schedule each Wednesday, including overnight and urgent shipments to meet project deadlines and ensure that they are delivered.
  3. Inspects inbound and outbound items and matches them with the packing slip for accounting.
  4. Obtains necessary permits for inbound and outbound shipments as required to facilitate timely movements.
  5. Organizes and maintains hard copy and electronic documentation supporting order fulfillment, distribution means, pricing, and contractual obligations.
  6. Ensures compliance with all state, federal, environmental, safety, and hazardous shipping regulations.
  7. Follows SAKAMURA parts/service established procedures effectively.
  8. Delivers or picks up parts/tooling to and from customers and vendors before the due date.
  9. Packs all outbound items according to carrier and customer specifications.
  10. Tracks packages when necessary or as directed by sales staff and/or management. Informs production, sales, office, field service and tooling of status and tracking number.
  11. Reports items shipping in/out and returns/signed out parts daily.
  12. Maintains good inventory records (perform regular cycle counts).
  13. Adjusts quantity on hand in QuickBooks.
  14. Obtains SDS sheets for all required items that are received or brought into SAKAMURA USA Inc.
  15. Gives customer signed packing slips to sales department immediately for issuing the invoice.
  16. Maintains lost and damaged reports (Make reports and take pictures when damaged packages are received).
  17. Maintains good records of inspection documents on the server for received parts and tooling.
  18. Checks shipping schedule from Sakamura Group with open purchase orders daily.
  19. Inspects parts and their condition for incoming/outgoing shipments according to packing documentation.
  20. Works with production, tooling, and sales regarding RMAs and returns and saves information to the server.
  21. Monitors exporting compliance and updates compliance manual when new laws and regulations are changed.
  22. Inventory Control every 6 months and monitors all purchasing and receiving in of shop supplies and spare parts.
  23. Monitors in-process and staging orders for accurate completion, checking with sales, field service or machinists as needed, in order to ensure orders are 100% complete, accurate, and organized before shipment. Ensure orders are completed, shipped, and delivered by deadlines given to customers.
  24. Checks UPS Quantum View or other similar resources for upcoming shipments each morning prior to morning meeting so as to be prepared to give relevant updates during morning meeting.
  25. Exercises proactive ownership of all S&R tasks and responsibilities by being informed, aware, and ready to respond to questions and provide updates to customers and SUI coworkers as needed.

ADDITIONAL RESPONSIBILITIES (1-7) & SAKAMURA REQUIREMENTS (8-16)

  1. Answers telephone calls, convey messages, and monitor the flow of email.
  2. Develops new vendors and maintains existing relationships.
  3. Communicates and consults with customers and/or vendors when necessary.
  4. Maintains shipping software updates.
  5. Use of forklift within the Sakamura facility. Obtain (re)certification through Annual Safety Training.
  6. Supports the collaborative team environment by partnering with other staff members through workflow, partnership and teamwork to support company needs and/or events.
  7. Maintains the highest standards of professionalism, dress and behavior.
  8. Understands that the needs of our customers are of the highest priority, to treat the customer with respect, and to communicate effectively.
  9. Does not disclose any parts drawings and confidential information to anyone outside of SAKAMURA.
  10. Maintains the SAKAMURA shop and office equipment (hand tools, measuring tools, PC, cell phones, vehicles, safety equipment, uniforms, etc.) Notifies management if there is an issue.
  11. Maintains cleanliness and organization of the SAKAMURA facility.
  12. Maintains safety and security of all work areas, both on and off site (company vehicles, doors secured in the facility, complying with all company safety and environmental policies, procedures, and practices.)
  13. Uses time effectively and efficiently.
  14. Carries out job effectively and efficiently.
  15. Clocks in and out every day.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  All necessary requirements are performed at pre-employment timing as part of the physical testing prior to accepting this position. The employee must frequently lift and/or move items up to 80 pounds.

 

 

REQUIRED EDUCATION, EXPERIENCE & ABILITIES

  1. High school diploma. Basic reading, writing, and arithmetic required.
  2. Valid driver’s license and clean driving record.
  3. Must understand international tariff codes and import/export regulations.
  4. Ability to convert inch to metric and metric to inch.
  5. Must possess strong communication and follow-up skills.
  6. Good organizational skills.
  7. Must be flexible.
  8. Willingness to learn.
  9.  
  10. Must maintain Sakamura Forklift Certification.

 

PREFERRED EDUCATION, EXPERIENCE & ABILITIES

  1. MS Office (Excel and Outlook).
  2. Basic machine knowledge.
  3. Ability to read and interpret blueprints.
  4. Experience in a Japanese cultured environment.
  5. CPR Training Certificate.
  6. 2+ years of S&R coordinator experience.
  7. Wood working skills enough for sound crate building.
