Position Summary:
This position supports the overall mission and vision of Catholic Charities and the Early Learning Department. Primary duties include offering administrative support services to the Early Learning Programs for the delivery of core services and duties.
Responsibilities:
Providing administrative support to Early Learning Regional leadership for their contract deliverables and other priorities.
Providing office operations by serving as the point person for maintenance, mailing, shipping, supplies, equipment, invoices and errands.
Managing conference and meeting room calendar.
Contributing to workplace safety by attending safety committee meetings and disseminating information as appropriate.
Screening and relaying incoming calls and emails.
Providing general reception to visitors as needed.
Providing logistical support to the Procurement and Travel Specialist to purchase office and program supplies.
Contacting child care providers licensed by Washington State and updating the standardized child care provider database in compliance with the Child Care Aware of WA Provider Record Update Policy, under the direction of the Data Evaluation Specialist.
Creating and sharing information via social media and marketing platforms.
Drafting, translating and editing program materials
Processing claims to support compliance with OSPI Child and Adult Nutrition Program
Assisting Early Learning staff onsite services such as lending library, filing, copying and laminating.
Participate in monthly supervisor meetings with direct supervisor
Attend team meetings as assigned
Perform other duties as assigned
Job Requirements:

Physical Requirements:
This position normally requires the physical demands of standing, walking, bending, lifting or performing other work requiring low physical exertion, as well as keyboard fingering, talking, hearing and adequate vision on a regular basis to perform the job requirements. These physical demands are required up to 90% of the time.
Non-Physical Requirements:
Education
AA or AAS degree in Business preferred.
Experience
Administrative Assistant preferred with 3 or more years' experience in a business office as a receptionist or administrative assistant

Ability to work independently, exercising sound judgment
Excellent customer service skills
Excellent written and verbal and active listening skills
Excellent organization skills with a keen eye for detail
Ability to prioritize work and manage time effectively
Skilled in operating Microsoft Office, Adobe and Google docs
Ability to maintain timely documentation and data entry into electronic databases
Demonstrated commitment to cultural relevancy, diversity and inclusion
Work occasionally evening and weekend hours within the work week
Knowledge of professional development opportunities and resources for early care and education professionals
Demonstrated reflective practice skills with the ability to give and receive feedback
Maintain professional working relationships with child care providers, community partners and program stakeholders
Aptitude for learning new software programs and technology
Maintain confidentiality according to agency and program standards
Bilingual (English/Spanish), required
Licensure, Registration, Certification
Valid Washington State driver's license and minimum required liability insurance for WA state
Employment is conditional upon:
