Job Description

In this role you will accomplish administrative tasks as necessary to support management operations functions for the GLOBAL HAWK PROGRAM OFFICE within the US Air Force Life Cycle Management Center at Wright-Patterson AFB, Ohio.

Essential Job Functions:

General Administrative Support

Tracking Integrated Product Team (IPT) manning and preparing organizational charts; data entry functions; assist with the processing of civilian time cards; integrating information into required reports; generation and maintenance of training requirements, files, forms and established file plans; processing mail (receive, sign for, and distribute mail, both classified and unclassified, and access, store, and handle classified material as required), preparing correspondence (both classified and unclassified).

The incumbent shall coordinate with functional managers, outside agencies, incumbent personnel, and the program office customers for events.

The incumbent shall retain the flexibility to provide other support as necessary to accomplish the efforts specified above, including other tasks from the directorate, division chief, or branch chief as assigned.

The incumbent shall assist in maintaining division and/or program level calendars, AFLCMC/WIG-level emergency information continuity plans and database, emergency procedures books, and telephone rosters.

The incumbent shall perform administrative and clerical functions associated with operating the AFLCMC/WIG in-processing and out-processing activities.

The incumbent shall be able to receive and understand instructions and carry out those instructions in a swift and efficient manner.

The incumbent shall record/track program action items and suspenses for events such as meetings, reviews, working groups, and audits.

The incumbent shall file and retrieve formal program documentation and shall be familiar with or attend government provided training on Electronic Records Management (ERM), Air Force Records Information Management System (AFRIMS), Functional Area Records Management (FARM) duties, and Records Custodian (RC) duties.

The incumbent shall assist with ordering of office supplies through inventory, gathering requests for supplies, and preparing and itemizing various lists for supplies/equipment to be ordered/purchased by the Government office.

The incumbent shall be familiar with, or attend initial government-provided training on and become proficient in using the Defense Travel System (DTS). The incumbent shall assist in preparing Continental United States (CONUS) and Outside Continental United States (OCONUS) travel arrangements and travel vouchers using DTS. The incumbent shall coordinate project-related travel with appropriate offices.

The incumbent shall be familiar with, or attend initial government-provided training on and become proficient in using the Automated Time Attendance and Production System (ATAAPS).

Given the nature of administrative support requirements, The incumbent shall re- assign other administrative support personnel on a short term basis to provide full coverage in the event of planned/unplanned absences.

International Business Administrative and Analytical Support

The incumbent shall provide administrative and logistical assistance for visiting personnel assuring proper clearance of foreign visitors and agendas.

The incumbent shall use the AFRIMS to support the establishment and maintenance of official file plans.

The incumbent shall assist in writing and developing contract Statement of Work (SOW) documents and Contract Data Requirement Lists (CDRL) designed to govern international business Foreign Military Sales (FMS) weapon systems procurement.

The incumbent shall update international sales-related and complex management reports.

The incumbent shall attend initial government-provided training in the use of the Defense Security Assistance Management System (DSAMS) and Security Assistance Manpower Requirements System (SAMRS) information systems, and shall use those systems as the alternate Point of Contact (POC) to support FMS Letter of Offer and Acceptance (LOA) and associated manpower profiles/data creation, coordination, amendment, and modification in a backup/POC capacity.

The incumbent shall prepare, submit, coordinate, and track USAF foreign disclosure requests and export compliance/control documentation review and routing for higher headquarters approval.

The incumbent shall maintain configuration of international agreements, manpower profiles, and manpower data.

Required Skills:

Due to the sensitivity of customer related requirements, U.S. Citizenship is required.

Possess at least a High School Diploma or GED along with 10 years of experience in the respective professional discipline being performed, 5 of which must be in a position supporting the Department of Defense.

An adjudicated DoD SECRET Security clearance on the First Day of employment.

The incumbent shall possess or be able to obtain a US Collateral Secret security clearance and a North Atlantic Treaty Organization (NATO) Secret Clearance.
