The Student Records Specialist serves as the main point of contact for the Registrar's Office and is responsible its administrative functions including, but not limited to, student records management, data entry, forms processing, and office correspondences. The Student Records Specialist will support the Registrar and other administrators in various projects and tasks to ensure the Registrar's Office is able to perform accurately, effectively, and efficiently. This position requires attention to detail, excellent interpersonal and organizational skills, as well as a thorough understanding of FERPA. Job duties specific to this position: Responsible for the maintenance, distribution, and customer service related to all aspects of student academic records in compliance with established policies including, but not limited to, the Family Educational Rights and Privacy Act (FERPA). Provides routine guidance and information regarding Le Moyne College's academic policies and procedures to assist students, families, faculty, staff, etc. Cross-train in all areas of the Registrar's Office to gain an understanding of its main functions Oversees and assists with all incoming and outgoing communications within the Registrar's Office. Assist military, local state, and governmental agencies on securing requested confidential student record documents when needed. Assist faculty with classroom requests. Processes and manages updates to student records in accordance with University and federal policies using systems such as Ellucian Colleague, Unity Client [OnBase], Parchment, and other software tools used to support the management of academic records. Collaborates with academic and administrative offices throughout campus to support the needs of the College in regards to functions of the Registrar's Office. Track, process, and manage all orders for office materials and the College's testing supplies. Assist in processing registrations and transfer credits for current and incoming students. Support the Registrar's Office in the identification, investigation and resolution of issues and processing errors regarding registration and records areas. Assists the Registrar with administrative tasks and oversight of the front office to ensure efficiency and accuracy. Attendance at College events as needed (some evenings and weekends) Perform other duties as assigned. Minimum High School diploma or equivalent combination of education, experience and training; Associates Degree is preferred Experience working a professional higher education setting is preferred. Professional demeanor and ability to interact well with others in a fast-paced operation. Strong interpersonal communication skills in both written and oral communications. Demonstrated time management and organizational skills with the ability to take initiative. Attention to detail and proficiency in Microsoft Office, especially Excel, is essential. Respect for confidential information; working knowledge of FERPA is required.
