    • Collect and validate patient information, including medical history, insurance details, and personal data, with accuracy and confidentiality.
    • Manage intake documentation using electronic health records (EHR) systems and ensure all forms are completed and filed properly.
    • Verify insurance eligibility and assist with pre-authorizations, referrals, and other administrative tasks as required.
    • Answer phones, respond to inquiries, and schedule patient appointments as necessary.
    • Provide patients with clear instructions regarding medical forms, practice policies, and next steps in their care journey.
    • Communicate effectively with clinical staff to ensure smooth handoff of patient information.
    • Monitor and maintain accurate patient records while adhering to HIPAA and confidentiality guidelines.
    • Assist with other administrative duties, such as data entry, filing, faxing, and maintaining organized records for compliance purposes.


    • Experience: 1-2+ years of experience in a medical office, healthcare setting, or related field, preferably in an intake or front-desk role.
    • Education: High school diploma or equivalent required; additional certifications or coursework in medical office administration or related fields preferred.
    • Technical Skills: Proficiency in using Electronic Health Records (EHR) systems, scheduling software, and common office tools (Microsoft Office Suite).
    • Customer Service: Strong interpersonal and communication skills with the ability to empathize with patients while maintaining professionalism.
    • Organization: Excellent attention to detail, time management, and ability to work in a fast-paced environment.
    • Knowledge: Familiarity with medical terminology, HIPAA regulations, and insurance verification processes is a plus.
    • Adaptability: A team player who can multitask and collaborate effectively with staff and patients.
