Job Description
The position will support and help drive the Whitman School of Management’s grants, PhD Program, and research activities. Reporting to the Associate Dean for Research and PhD Programs, this role is multi-faceted and encompasses:
  • Identifying and tapping into diverse grant sources; aligning them with the Whitman School’s research and programmatic needs; and actively providing critical support to faculty in pursuing appropriate grant opportunities in line with Whitman’s strength areas.
  • Coordinating and offering clerical support to administrative aspects of the PhD and research programs, including managing all inquiries to the PhD and research programs, administering PhD applications, aiding in communications with PhD students, Whitman research faculty, and the general public; and providing administrative support to the Associate Dean and appropriate faculty committees.

Writing and Communication Skills:
  • Excellent communication and organizational skills, both in writing and verbally.
  • Mastery of the English language at a professional level.
  • High-detail orientation with a strong capacity for reading and comprehending complex documents.
Management Skills:
  • Ability to handle multiple priorities and requests, adapt to changing circumstances and priorities, provide timely follow up, and pay close attention to detail.
  • Ability to work independently, make quick decisions, and show cultural sensitivity.
  • Exceptional customer service ethic and problem-solving abilities.
  • Commitment to high professional standards, including discretion, ability to work with others of different backgrounds, and ability to deal with stress.
Computer  Skills:
  • Proficiency in computer software such as Excel, Word and PowerPoint.
  • Knowledge of PeopleSoft or related University systems is a strong preference.
  • Demonstrated technological savvy and willingness to learn University systems.
Responsibilities
Grant Research Support:
  • Research and identify grant funding opportunities that align with Whitman’s research areas and program strengths. Support faculty to draft, develop, and submit compelling grant proposals that adhere to guidelines and submission deadlines.

Grant Management Support:
  • Administer grants, ensuring that all projects stay on course with funding requirements and that reports are submitted in a timely manner. Work collaboratively with the Assistant Director of Budget and Finance and other administrative personnel, including in central offices at Syracuse University, such as the Office of Sponsored Programs, Office of Sponsored Accounting and the VP of Research. Maintain current grant records, to make sure Whitman has accurate tracking and reporting.

Administrative Support of PhD and Research Programs:
  • Serve as a primary point of contact for the PhD and research programs, providing coordination between faculty, students, and administration. Assist in the PhD admissions process, including communications, application reviews, and administrative support. Oversee the administration of the PhD and research programs, maintain a structure that makes for smooth operations and efficiently organized seminars, workshops, and projects.

Other Administrative Support:
  • Assist the Associate Dean with day-to-day administrative tasks, including but not limited to scheduling, correspondence, record-keeping, and budgetary expenditures. Coordination with other University Offices on campus related to PhD programs and budget, as appropriate. Other duties as assigned.
