U.S. Facilities, Inc., a consolidated facility management service, is seeking a Account Administrator to join our Facilities Management team. The Account Administrator will play a crucial role in supporting the efficient operation of our facilities by managing administrative tasks, ensuring accurate financial tracking, and maintaining effective communication with both internal teams and external vendors. The ideal candidate will possess strong organizational skills, an understanding of financial processes, and a customer-focused attitude.
Responsibilities
The Account Administrator prepares proposals to present to the client for work outside of the agreed upon scope.
Creates purchase orders as directed and maintains log.
Produces invoices billing the client for labor, parts, and subcontractors.
Submits invoices through client's online portal for payment.
Supports onsite staff with out-of-pocket expense submittal and credit card expenditures.
Acts as the site key point of contact regarding invoicing, billing, and accounting
Provides coordination and support events, meeting, and conference facilities as required.
Identifies opportunities for improved operation and service excellence, making recommendations to ensure industry standards are followed.
Updates and maintains accurate records and official documentation for the site.
Comply with all requirements of the client contract and meet or exceed Key Performance Indicators
Deliver an exceptional quality of service, as reflected by client feedback.
Participation in the recruitment, selection, management, coaching and motivation of USF staff; provides guidance and direction on problems and issues.
Qualifications
5+ years of relevant working experience in Accounts Payable & Accounts Receivable
Proficient in preparing proposals, purchase orders, and invoices.
Knowledge of standard business and accounting practices
Proficiency in a range of information technology tools and platforms
Excellent communication, organization and problem-solving skills
Ability to work independently with little supervision and effectively deal with stressful situations.
Self-motivated; confident, energetic and flexible
Knowledge of Computerized Maintenance Management Systems
Excellent Microsoft Office Suite skills including EXCEL, WORD, and PowerPoint
Proficient in iWork including Pages, Numbers, and Keynote
Proficient with Mac products and iOS
May be required to perform additional or different duties from those set forth above to address business needs and changing business practices.
