Administrative Assistant II (818965)

Our client, a highly sought after medical device manufacturer, is seeking an experienced Administrative Assistant (level II) to join their team in support of the Research and Development (R&D) Department. The ideal candidate is an outgoing, positive, driven individual with 3+ years of experience in a corporate administrative role. The Administrative Assistant II will support day to day administrative duties, and support life-changing work as part of the R&D team – talk about finding purpose in your work!  

This is a long-term contract position (estimated 2-years) and will be fully on site in Mounds View. Only candidates local to the Twin Cities area (able to commute daily) will be considered.  
 
Duties
  • Calendar management – schedule meetings, assist in booking meeting rooms for management or department events, calendar assistance and coordination for VP of R&D
  • Place orders (POs) for materials from vendors as directed by engineering teams and work with engineering teams to resolve purchasing queries with suppliers as needed
  • Create and maintain meeting minutes from R&D leadership meetings
  • Manage expense reports for management team
  • Handle agendas for internal/external site visitors
  • Arrange travel for management team
  • Schedule and develop content for group all-employee meetings
  • Coordinate with site facilities and IT departments to escalate and resolve issues that impact team, as needed
  • Support hiring and onboarding process – schedule phone screens and interviews, prepare space for new hires, coordinate logistics for new hires (tours, help, badge, equipment) and maintain the onboarding checklist to completion
  • Additional duties to support the team as assigned

 

Requirements
  • Associate’s Degree or additional combined education/work experience
  • 3+ years of administrative experience (preferably in a corporate setting); ideally at least 6-months experience in a similar role
  • Excellent communication skills required (verbal, written)
  • Organized, detailed, driven attributes with a “make your day” attitude
  • Complex problem solving abilities with critical thinking skills
  • High level of discretion and professionalism is a must
  • Knowledge and working familiarity with MS Office (Word, Excel, Powerpoint)
  • Ability to work independently and adhere to deadlines
