Job Description
Reporting to the Director of External Relations, Strategy and Operations for the Whitman School of Management, the Advancement and External Engagement Coordinator provides administrative, operational, and research support to the external engagement team in support of the school’s philanthropic, engagement, and prospect management activities.

This position will manage the day-to-day operations of the office, including but not limited to procurement and reconciliation, donor reports and briefs, administrative tasks, internal projects, scheduling, and special initiatives as determined. This position will be responsible for prospect development and research, including tracking critical information related to potential donors, monitoring sources for connections to the university, producing reports and providing information, and updating prospect specific information in development databases.
Qualifications
  • Bachelor’s degree required.
  • A minimum of two years of demonstrated experience in managing internal operations, administrative tasks, and knowledge of CRM database systems, preferably in a college or university setting.
  • Strong computer skills including proficiency in Microsoft applications, and CRM systems.
  • Valid driver’s license required.

  • Advanced understanding of CRM systems including Blackbaud and Salesforce as well as Microsoft Suite.
  • Ability to manage multiple projects in a dynamic environment and meet project timelines.

  • Attention to detail and ability to follow through.
  • Flexibility and the ability to adapt and work in a rapidly changing environment and manage multiple priorities.

Responsibilities
  • Manage the day-to-day operations and administrative tasks for the Advancement and External Engagement team, including coordinating scheduling, producing reports and retrievals, collecting and distributing agendas, budget reconciliation, and coordinating internal and external meetings with staff, volunteers and donors.
  • Provide support through the management and coordination of special projects, including but not limited to class act, on campus engagement initiatives, partnerships with career services, Whitman and Giving Day, and event support and planning as needed.
  • Manage, produce and complete donor reports and briefings associated with donor and prospect events or meetings.
  • Lead the research plans of individuals, corporations and foundations through donor management systems, subscription databases, as well as public websites.
  • Analyze data and synthesize results to assess financial capacity, philanthropic tendencies, giving propensity, linkages to campus, and other information to aid in the development processes.
  • Work closely with the Director of External Relations, Strategy and Operations as well as the major gifts team to produce accurate and detailed background reports.
  • Collaborate closely with the Prospect and Research and Data Analytics team in central advancement to identify, update, and maximize processes and procedures to support and impact fundraising activities.
  • Process, draft, and edit documents related to donor and prospect engagement. Secure database reports and request additional reports as needed for donor research.
  • Generate and keep updated plans and opportunities. Ensure the accuracy of data entry and maintenance and updating of records.
  • Oversee the calendar and scheduling for the Assistant Dean of Advancement and External Engagement, including team and individual meetings, board and council preparation, coordination and materials, as well as CRM database management as necessary.
  • Perform related duties as required or deemed appropriate to the accomplishments of the responsibilities and functions related to this position.
