We are looking for an Administrative Assistant to join our team in St Augusta, Minnesota, on a Contract to permanent basis. This role involves providing vital administrative support to the Property Management department, assisting with front desk operations, and coordinating company-wide administrative tasks. Responsibilities:
• Provide detail-oriented administrative support to the Property Management team, ensuring tasks are completed efficiently and accurately.
• Deliver exceptional service to walk-in visitors and callers by addressing inquiries and directing them appropriately.
• Organize, track, and maintain important company records and generate reports as required.
• Manage incoming and outgoing mail, including sorting, distributing, and signing for deliveries.
• Update and monitor the company's website, social media platforms, and marketing campaigns.
• Create, update, and distribute organizational marketing and fundraising materials as needed.
• Maintain and coordinate organizational mailing lists and oversee mailings such as annual appeals and holiday cards.
• Prepare and manage materials for monthly board meetings, including set-up and distribution.
• Develop and maintain tracking systems for critical dates, property information, and other key data.
• Assist with administrative tasks for directors and fulfill segregation of duties requirements within the organization.
• Proficiency in Microsoft Windows, Word, Excel, PowerPoint, and Adobe Suite.
• Strong oral and written communication skills.
• Exceptional organizational abilities and keen attention to detail.
• Prior experience with property management software, such as Yardi, is preferred.
• Ability to multitask effectively in a fast-paced environment.
• Physical capability to sit for extended periods and perform occasional bending, reaching, and lifting.
• High school diploma or associate degree in Business or Office Management with at least two years of relevant office experience.
