    We are offering an exciting opportunity for an Executive Assistant in Jupiter, Florida. The role primarily focuses on providing high-level administrative support, managing schedules, handling email correspondences, and ensuring progress on key initiatives in a timely and efficient manner.

    Responsibilities:

    • Effectively manage and maintain the Principal's calendar, scheduling appointments, meetings, and events whilst promptly resolving any conflicts.
    • Monitor and prioritize the Principal's email inbox, ensuring prompt follow-up on important communications.
    • Manage, prioritize, and provide detailed messages from phone calls and voicemails.
    • Prepare for upcoming meetings by reminding the Principal and ensuring all materials are organized and ready in advance.
    • Coordinate with other Executive Assistants and attendees to confirm availability and necessary preparations for meetings.
    • Act as a bridge between the Principal and internal/external contacts, following up on key initiatives and projects to ensure they are progressing as planned.
    • Provide general administrative support, including document preparation, file management, and handling confidential information with discretion.
    • Utilize excellent written communication skills to manage client communications.
    • Use your event planning skills to coordinate and execute successful events.
    • Apply your skills in calendar management and travel coordination to ensure seamless scheduling and travel arrangements.
    • Minimum of 1 year experience in a similar role

    • Proficient in calendar management, with ability to schedule and prioritize meetings effectively

    • Experience in travel coordination, including booking flights, accommodation and managing itineraries

    • Strong skills in email correspondence, ensuring prompt and detail oriented communication

    • Ability to coordinate meetings with internal and external stakeholders, including venue booking and agenda preparation

    • Experience in event planning, from conceptualization to execution

    • Excellent written communication skills, with an emphasis on clarity, brevity, and detail orientation

    • Experience in client communications, maintaining detail oriented and positive relationships with clients at all times
