Position Summary
Student Services Events Coordinator plays a pivotal role in supporting the IEOR department’s community and its event. Key responsibilities include coordinating department events, assist with career and academic-related activities such as department-wide events, alumni relations, academic orientations, student social/networking events, PhD visits and PhD targeted events, and assist with department publications. This involves tasks like organizing events, developing marketing strategies, marketing campaigns, managing catering and facilities, maintaining attendance records, assist with alumni databases, facilitating connections between students and alumni, assist with coordinating employer presentations and interviews, assist with producing departmental publications like posters and flyers, coordinating large scale faculty workshops, sourcing vendors, assist with negotiating event contract requirements and assist with processing invoices.
Responsibilities
(50%) Events Coordination
Coordinate various Departmental events, including but not limited to employer presentations, student-alumni-faculty events, large scale seminars/workshops, mentoring program, employer office visits, etc.
Develop comprehensive marketing plans for the events, aligning the educational and professional goals of the Department, and meeting the attendance/engagement goals of the Department
Manage catering and related facilities requests for the Department
Maintain and report attendance to such events using Departmental technologies
Coordinate with the Department as to promotional items needed for various events
(20%) Career Management Support
Assist with employer presentations and events
Coordinate employer presentations, visits, student interviews
Assist with academic orientation, student socials/networking event
Assist with PhD Visits and PhD targeted events
(20%) Vendor and Payment Management
Assist with processing invoice
Assist with negotiating vendor contracts
Sourcing new vendors
Coordinate production of departmental posters, flyers, and annual booklet
Communicate with contributors, copy editors, and graphic designers
Interview members of the IEOR community: students, faculty, and alumni
Minimum Qualifications
High School Diploma Required. Bachelor’s degree preferred.
At least one year of related experience
Possess excellent interpersonal and administrative skills, as well as strong skills in written and oral expression.
Strong computer literacy/proficiency required: an understanding and appreciation of student services database software and on-line resources, and the willingness and enthusiasm to respond to the needs of students in an increasingly technologically-oriented society. Proficiency with Google suite of products, MS office, publishing software, social media, etc. Ability to analyze and work with a large volume of student, employer and related data.
Ability to work independently and under pressure, with high level of attention to detail. Candidate must exercise good judgment and flexibility. Must be able to prioritize multiple tasks with minimal supervision. Must be able to communicate effectively and tactfully with staff, faculty, students, employers, and alumni in small and large group settings. Excellent command of English (verbal and written).
Positive, mission-oriented, forward-thinking attitude and sense of humor a must.
