DESCRIPTION
Working under the direction of the Fleet Foreman and or Fleet Administrator, assists with the administrative functions of the fleet front desk operations. Assists the Foreman by greeting visitors, listening to the problems they are having with their vehicles/equipment and logging repair requests. The Fleet Service Writer has automotive knowledge to help identify and communicate vehicle/equipment issues to the Fleet Foreman.
DUTIES AND RESPONSIBILITIES
- Initiate repair order process: customer service, gather repair request, keys, contact information and create repair order. Provides repair orders to Fleet Foreman for assignment; enters assignment information on repair order.
- Process repair order charges; enter parts and commercial charges on repair orders. Review mechanical comments, labor and other detailed information on repair orders.
- Finalizes repair order; completes repair order and files; maintains records in appropriate location and length of time.
- Assists in receiving and interviewing visitors, and schedules service appointments.
- Helps identify mechanical problems by questioning the guest or doing a visual inspection or road test.
- Based on repair complaints refer to service history, inspect historical vehicle reports.
- Manages the Preventative Maintenance schedules for DOT vehicles and other annual maintenance repairs as needed.
- Checks on the progress of repairs sent to third-party dealer(s) and updates the Fleet Foreman regarding any changes.
- Order shop requested tools as needed.
- Order shop requested parts for repairs as needed.
- Assists with Inventory and Stocking of parts.
- Ensures that vehicles are parked in assigned areas. Make sure all keys are marked and put away correctly.
- Receive and sign for incoming mail and parts order deliveries.
- Handles telephone inquiries regarding appointments, work in process, etc.
- Perform other duties of a similar nature or level.
MINIMUM ENTRANCE REQUIREMENTS
- Two (2) years of experience in the Automotive Industry.
- Basic math and accounting knowledge
- Strong understanding of auto mechanics and the ability to identify appropriate repairs for vehicle problems
- Ability to break down complicated automotive or industry topics into understandable advice meant for guests to understand
- Advanced computer and data entry skills
- Organizational and record-keeping skills
- Ability to establish and maintain effective relations with fellow workers, outside agency personnel, and the general public.
