Assistant Administrative

Part-time, split shift

Here at Blue Moon Estate Sales, we pride ourselves on having the most friendly and helpful estate liquidators in the business. We search for individuals who are passionate about helping others and who want to share their passion with others.

We are looking for a responsible Assistant to perform a variety of administrative and clerical tasks. Duties of the Assistant include providing support to our management and team members, assisting with daily office needs, and managing our companys general administrative activities such as calendar management, lead intake, client communications, light bookkeeping, etc. This franchise location is less than 1 year old and still building/refining processes, so collaboration and teamwork are pivotal in helping develop streamlined processes that support business growth.

Responsibilities:

  • Answer and direct phone calls and review messages; lead intake; document in-home assessment notes from management.
  • Organize and schedule client/leads/vendor appointments and jobs shifts
  • Maintain contact lists
  • Write and distribute email, correspondence memos, letters, and forms
  • Manage owners email and calendar
  • Maintain HR files, enter hours for team payroll
  • Scan and detail invoices and payables into the accounting system, ensuring all payments and reports are completed within established time frames.
  • Provide general support to owner and team members for certain event preparation tasks.
  • Order and maintain supplies
  • Develop and maintain a filing system; ensure filing systems are up-to-date and maintained for effective and efficient use
  • Coordinate, update, and post on social media, community management, and other relevant platforms posts for sale events, and general awareness posts
  • Periodic check-ins with marketing partners

Qualifications:

  • Ethical, patient, and punctual
  • Customer service focused and team oriented
  • Take direction well and be efficient with processes
  • Flexible working hours â" 2-4 hours per day for 5 days per week; split shift
  • Must have access to a working cell phone and to access email
  • Proven experience as an Administrative Assistant or Office Admin Assistant
  • Excellent time management skills and ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong Organizational skills with the ability to multi-task
  • Proficiency in Google (gmail, drive, calendar, docs, etc.), Excel, Word, and PowerPoint, social media and buying/selling platforms (i.e., Facebook, Instagram, Nextdoor, and Craigslist)
  • Working knowledge of various software applications (i.e., Xero (accounting), Monday (CRM and Task Mgmt), Company Cam, ADP (payroll), POS - Lightspeed/Square
  • High School Degree
